Specification for creating a website

Our goal in this document is to help individuals and companies correctly prepare the task for creating a website.


We also welcome your constructive criticism and feedback.

Your thoughts will help us improve this document for the mutual benefit of web design and development.


We look forward to your feedback and inspiration on how you prepare similar specifications in your organization.

Task


iMprove GROUP, s.r.o., based in Košice, is looking for proposals from digital agencies with proven experience to create a new website for the company.


1. Processes and Timeline

After meeting with various agencies to discuss this project, we selected three agencies that iMprove GROUP, s.r.o. considers to be the most qualified and best potentially suitable for this project. We would like to invite your agency to the tender process and I would like to ask you to submit your proposal.

3. Company iMprove GROUP, sro

The company iMprove GROUP, s.r.o. provides services in the field of web design, website creation and online marketing. The company was founded in 2009 in order to provide its clients with the creation of websites and subsequent online marketing services. It specializes in the creation of websites and web applications built on the Drupal CMS system.

The headquarters of iMprove GROUP, s.r.o. is located in Košice, where it has its office premises. The current website of iMprove GROUP, s.r.o. is https://improve.sk and was last designed in 2017.


4. Body and the presentation of the project

Our aim is to redesign the company's website to achieve the following key objectives:

Modernize the design to better support the iMPROVE brand position.


    Increase the number of potential customers captured from the website. Improve the effectiveness of publishing various landing pages. Increase website traffic from the Google search engine. As part of this project, we want to raise our brand through a new design and place it among the leading online agencies in Slovakia.


The website redesign should focus on increasing the number of incoming leads for our services, both due to existing marketing efforts, but also to improve search engine optimization and future online advertising that we plan to implement.


The new website should allow even non-technical staff to publish and edit content easily and efficiently.


5. Budget interval


€3,500 - €5,000, excluding web hosting services and subsequent support after the website is launched.


6. The public

The website should be understandable to all visitors. However, we believe our primary audience is senior managers in organizations such as:


  • Marketing director of a company.CEO or communications director of a non-profit organization.IT manager of an organization.Owner of a service operation.Head of marketing at a university.Public affairs marketing officer at a local authority.


We would also welcome help in defining our target audience.


7. Project requirements


  1. Strategy. How to prepare a strategy for a new website.
  2. Navigation and information architecture. Recommend new navigation and information architecture that will improve the usability of the new site.
  3. Preparation of content types. Help us create appropriate content and engaging texts for the home page and six key landing pages. Help us define the appropriate types of content to create on a regular basis.
  4. Sitemaps and user experience. Think and design an appropriate user experience that engages our audience and helps us achieve our goals.
  5. Design. Create a new eye-catching and compelling website design that will make our brand visible and highlight its unique advantage.
  6. Images. Help us identify suitable images or images to complement our existing photo library.
  7. Responsive website. Create a responsive website that will be suitable for mobile phones, tablets, laptops / computers and widescreen monitors.
  8. Content management system. Using a modern content management system, we want to enable 5 authors and 3 editors to more easily publish content and images, such as new pages, publications, reports, client case studies, staff profiles, blog posts. We strongly prefer an open source content management system.
  9. Web Editing. We would like each type of post to have a well-defined structure and fields that make it easy to publish. We would also like to use a WYSIWYG editor to perform updates. The editor should provide the design styles that are used on the website so that the content we will publish looks uniform.
  10. Accessibility. Compliance with the Web Content Accessibility Guidelines (WCAG), Level A, as measured by the Web Accessibility Assessment Tool (WAVE).
  11. Lead capture. We need to be able to capture contact information from visitors / potential customers via forms. An email is automatically sent to the potential customer and we want to add the potential customer's contact information to our CRM system.
  12. Integrations. Integrate lead capture forms with our CRM system Salesforce CRM.
  13. Newsletter emails. Allow visitors to sign up for one of our five email newsletters that we manage through MailChimp.
  14. Web forms. Create 3-5 web forms that allow website visitors to contact us.
  15. Landing pages for services. Create optimized landing pages for each of our three services.
  16. Search. Implement search to enable keyword searching for all public content, including PDF content, and allow visitors to filter results by industry or location.
  17. Migration. Migrate all content and blog posts from our current website to the new website (approximately 600 pages and 70 PDF files).
  18. Analysis and Strategy. Implement Google Analytics according to best practices, set up the main Analytics dashboard and help us identify three goals to track on our new website.
  19. Strategy and search optimization. Recommend SEO techniques and implement SEO best practices. Create a robots.txt and XML sitemap file and configure Google Search Console.
  20. Social Media. Link our social network profiles LinkedIn, Facebook and Twitter. Include social tags for Twitter, Twitter thumbnail and Open Graph data to make it easier for our visitors to share content.
  21. Quality assurance. Define a quality assurance plan that includes at least one week for beta testing and feedback from our employees and selected customers. The website should have visual consistency with the latest two versions of Chrome, Firefox, Internet Explorer for Windows and Safari for Mac, and with the most popular iOS and Android devices for the two most recent versions of iOS and Android.
  22. Documentation. Provide brief documentation of the site being developed, including a summary of key configurations and summaries of any custom code, plugins, or modules created for this project.
  23. Training. Provide training to our 3 person team to manage and update the website.
  24. Web Launch. Successfully launch a new website and provide immediate support for any issues that may occur after the website is launched.

9. Current environment

The current website of iMprove GROUP, s.r.o. runs on Drupal 8.7.2 and is hosted on a VPS server at FORPSI.

The server runs Linux Ubuntu 20.04, MySQL, PHP and Apache and has 8 GB of RAM, a 2.5 GHz processor and a 100 GB hard drive. We recently noticed stability issues with this platform and updated the PHP version on the server to PHP 7.4.


10. Web hosting

Recommend us a suitable website hosting solution. We prefer to contract directly with the recommended hosting provider and prefer that your agency is not the website hosting provider.


Hosting should include:


    Hosting optimized for recommended CMS solution99.9% uptime (with or without SLA) Development, staging and production environment Use of code repository to track changes and deploy code Daily backup of file system and database with 14 days retention Transport layer security (TLS).


11. Support

iMprove GROUP would ideally like to establish a long-term relationship with the selected agency for the provision of the following services:


  • Regular website support, regular updates of the CMS system core and third-party modules Training of new employees Monthly review of website analytics and goals Development of new features


If your agency provides regular support, please make recommendations for regular website support.



12. Responsibilities of iMprove GROUP

We realize that cooperation and synergy between iMprove GROUP and your agency is crucial for success.

iMprove GROUP will ensure the following:

    Will provide a specific contact person to coordinate feedback. Will coordinate meetings with interested parties. Will review the results of your work and provide timely feedback based on a pre-agreed schedule. images. Will provide access to iMprove GROUP accounts such as MailChimp, Google Analytics for integration purposes.


13. Time Frame

Suggest a timeline that you think is appropriate for our project.

We would like to launch the website by July 25, 2022 when we launch the new service.



14. Contract

If you want us to use your agency's contract, please attach a draft contract to your solution proposal.




15. Submission of proposal

Submit your proposal electronically as a single PDF file. If your proposal is larger than 10MB, use a service such as Dropbox or similar.

You can use whatever proposal format your agency prefers, but we'd like to see at least the following in your proposal:

    Screenshots, URLs and brief descriptions of similar projects you have worked on. Brief CV or CVs of key agency team members we will be working with. List all subcontractors who will work on the project. Proposed project schedule. Quality assurance process including providing support for errors after starting the website.


Budget

    Project costs by phase (eg design, implementation, etc.) List subcontractor budgets, if any.Monthly support costs, if offered.Monthly hosting costs or software licenses required.

Three references for similar projects completed in the last 24 months.



16. Evaluation criteria

iMprove GROUP will evaluate proposals from all participating agencies according to the following criteria: - Proposal completeness and professionalism - Evidence of understanding of the project and scope of work - Demonstrated experience - Interview (via video conference or in person) - Process and project management - Professional references - Cost effectiveness - Support


Shortly after receiving your proposal, iMprove GROUP will invite you to a meeting with us to present your agency's offer and also to ask you questions about your agency and your solution proposal. key members of your team so we can get to know them.
